At Vision Psychology, we strive to provide quality care and maintain an organized schedule for all our clients. Our cancellation policy is designed to ensure that appointments run smoothly and that ALL clients receive the attention they deserve. We appreciate your understanding and cooperation in adhering to this policy.
Cancellation Timeframes
- Early Cancellation: Appointments cancelled 48 hours or more prior to the scheduled time will not incur any penalty. We encourage you to reschedule at your convenience and your booking fee will be used for your next appt.
- Late Cancellation: Appointments cancelled on the day or up to 48 hours of the scheduled time will be subject to a 50% cancelation fee that is based on the advertised fee for the clinician. Another booking fee will need to be paid to secure another appointment. Rebates are not able to be used with cancellation fees or booking fees.
Communication Channels to cancel an appointment, you can use one of the following methods:
- Call our reception during business hours (07) 3088 5422. Leave a voice message if no one answers.
- Send an email to reception@visionpsychology.com
- Respond with a reply text message to our confirmation text.
Extenuating Circumstances.
We understand that unforeseen circumstances can arise. If you encounter a situation such as a medical emergency, sudden illness, bereavement, or other circumstances beyond your control. If you think you are falling sick, it is better to reschedule than risk a cancellation fee. Please contact us as soon as possible to discuss your situation. We will assess each case individually and may consider exceptions to the cancellation policy.
Rescheduling
We encourage you to reschedule appointments rather than cancel them whenever possible. However, rescheduling is subject to availability, so we recommend contacting us well in advance to secure a new appointment time.
No-Shows
Clients who fail to attend appointments without notifying us will be considered no-shows. No-shows will be charged the full session fee and you will not be permitted to rebook until the no show fee AND the booking fee for the next appointment is paid.. To avoid unnecessary charges, please notify us, in accordance with this policy, if you are unable to attend your appointment.
Payment and Refunds
Upon early cancellation, any prepayment will be applied to your rescheduled appointment OR refunded within 3-4 days. Late cancellations or no-shows will result in the deduction of the applicable fees from the prepayment.
Reminder System
We provide automated appointment reminders via email, text message, or phone call. These reminders aim to help you remember your appointments and reduce the likelihood of late cancellations or no-shows.
